Job Summary:
The primary goal of the Quotation Specialist is to streamline and enhance the pricing and quoting process by managing vendor communications, ensuring timely and accurate quotes, and supporting the sales team in closing deals efficiently. This role will contribute to improving operational efficiency, responsiveness to client needs, and overall customer satisfaction by addressing challenges in the current quoting process specific to the packaging industry.
Key Responsibilities:
Price Request Management
- Receive Pricing Requests: Process pricing requests from the sales team, ensuring all required information is collected to generate accurate quotes
Vendor Communication and Coordination
- Vendor Communication: Communicate with vendors to obtain pricing, freight quotes, and verify the accuracy of vendor information.
- Print Proof Management: Oversee the print proof process, ensuring customer approval and accuracy of vendor quotes.
Quote Preparation and Distribution
- Quote Compilation: Compile vendor responses into a standardized quote sheet template, ensuring clarity, completeness, and accuracy of the information.
- Finalized Quotes: Provide finalized quote sheets to the sales team for client distribution, ensuring timely delivery and accuracy.
Documentation and Record Keeping
- Document Maintenance: Maintain organized records of all quotes, vendor communications, and related documents, ensuring they are accessible and up to date.
Education and Skill Requirements:
- At least 1 year of experience in a similar role, preferably within the packaging or manufacturing industry.
- Excellent communication skills for effective vendor and team interactions.
- Strong problem-solving and critical thinking abilities.
- Exceptional verbal and written communication skills.
- Keen attention to detail to ensure accuracy in quotes and documentation.
- Outstanding organizational and time management skills to efficiently handle multiple requests.
- Strong integrity and honesty in all aspects of work and interactions.
- Proficiency in Microsoft Excel and familiarity with CRM systems.
- Familiarity with common packaging materials, design requirements, industry terminology, and freight logistics is preferred
