Operations Analyst

Job Summary:

We’re looking for a proactive and analytical Operations Analyst to support business performance, streamline internal processes, and optimize tools like HubSpot CRM. This cross-functional role blends data analysis, finance operations, CRM management, and compliance support. You’ll work closely with leadership and key departments to generate insights, maintain reporting dashboards, support financial workflows, and uphold operational standards. Ideal candidates bring strong analytical skills, CRM proficiency, and a keen eye for detail, with experience in high-growth or fast-paced environments.

Key Responsibilities:

Data & Analytics

  • Analyze business performance data and generate actionable insights to guide strategic decisions.
  • Develop, maintain, and enhance dashboards, KPIs, and performance metrics across departments.

Finance Operations

  • Support budgeting, forecasting, and financial reporting activities.
  • Assist with billing, invoicing, and expense tracking processes.
  • Liaise with external accountants and financial advisors as needed.

CRM Management (HubSpot)

  • Manage daily HubSpot operations including workflows, list segmentation, automation, and reporting.
  • Work closely with sales and marketing teams to optimize funnel performance and customer journey tracking.

Compliance & Documentation

  • Ensure alignment with internal policies, legal regulations, and compliance standards.
  • Maintain and enhance documentation for procedures, internal controls, and risk management.
  • Support data privacy efforts, vendor assessments, and audit readiness.

Cross-functional Collaboration

  • Collaborate with teams across the business to improve workflows and solve operational challenges.
  • Assist with onboarding and offboarding, including access management and process documentation.
  • Provide support for recruitment coordination and candidate sourcing when needed.

Education and Skill Requirements:

  • Ability to work onsite, graveyard shift, shifting schedules, and overtime.
  • Minimum of 3 years of experience in operations, business analytics, finance, or a related role.
  • Proficiency in HubSpot CRM, including workflows, automation, reporting, and system integrations.
  • Strong analytical skills with advanced proficiency in Excel, Google Sheets, or BI tools such as Looker or Tableau.
  • Solid understanding of financial principles, budgeting, forecasting, and reporting.
  • Familiarity with compliance frameworks, internal controls, and operational risk management.
  • Exceptionally organized, detail-oriented, and proactive in identifying and solving issues.
  • Strong written and verbal communication skills, with proven project coordination abilities.
  • Experience in a startup or high-growth environment is a strong advantage.
  • Familiarity with SaaS metrics and financial modeling is preferred.
  • Exposure to due diligence or background screening processes is ideal.
  • Experience with tools such as Notion, Slack, QuickBooks, or DocuSign is a plus.
