Job Summary:
As a HR and Payroll Representative, you will be responsible for overseeing various HR processes to support the needs of employees and ensure compliance with company policies and legal regulations. This role requires strong organizational skills, excellent attention to detail, and the ability to effectively communicate with employees at all levels. The ideal candidate will be proactive, approachable, and eager to contribute to a positive work culture within our agency.
Key Responsibilities:
Employee Onboarding & Setup
- Coordinate the full-cycle onboarding process for new hires, ensuring a smooth transition into the company.
- Collect, review, and process new hire documentation, including employment contracts, tax forms, background checks, and credentialing paperwork.
- Set up new employees in HRIS, payroll, and benefits systems, ensuring accuracy and compliance.
- Provide orientation and training on company policies, procedures, and benefits.
- Work closely with department managers to ensure new hires receive proper training and support.
Timekeeping & Payroll Support
- Process and review employee timecards for accuracy and compliance with company policies.
- Work with supervisors and payroll staff to resolve any discrepancies in timekeeping records.
- Assist in payroll processing by verifying hours worked, overtime calculations, and leave balances.
- Maintain accurate records of employee attendance, tardiness, and absences.
PTO, Sick Days & Leave Management
- Review and process PTO, sick leave, and other leave requests in accordance with company policies.
- Maintain up-to-date records of employee leave balances and notify employees of their remaining accruals.
- Ensure compliance with state and federal leave laws (e.g., FMLA, ADA, and state-specific regulations).
- Communicate with employees regarding leave policies and procedures.
Unemployment Claims Processing
- Review and respond to unemployment claims, ensuring accurate and timely documentation is submitted.
- Work with state agencies to provide necessary information regarding employment status and termination details.
- Represent the company in unemployment hearings as needed.
Benefits Administration
- Assist employees with benefits enrollment, changes, and questions.
- Provide guidance on health insurance, retirement plans, and other employee benefits.
- Work with benefits providers to resolve employee inquiries and issues.
- Conduct open enrollment sessions and provide ongoing support for benefits administration.
HR Compliance & Employee Support
- Maintain employee records, ensuring compliance with company policies and legal requirements.
- Address employee concerns and provide guidance on HR-related matters.
- Monitor and ensure compliance with federal and state employment laws, including EEOC, FLSA, and HIPAA regulations.
- Conduct audits of employee files to ensure proper documentation and confidentiality.
- Assist in updating HR policies and procedures to reflect company growth and regulatory changes.
Education and Skill Requirements:
- Bachelor’s degree or related working experience.
- At least 1 year of related work experience in payroll.
- Must have proven experience with compensation/benefits and payroll handling
- Outstanding organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to work onsite, work in shifting schedules and overtime as needed.
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
- Strong problem-solving and decision-making skills
- Strong ethics and reliability.
