Job Summary:
We’re looking for a proactive, detail-oriented Executive Assistant with a strong operator mindset to provide high-level support to the VP of Sales. In this role, you’ll thrive in a fast-paced, deadline-driven environment where priorities can shift quickly. You’ll serve as a true partner — not just a scheduler — ensuring the VP can focus on strategic priorities while you manage the details with accuracy, discretion, and initiative.
This position calls for someone who communicates clearly, exercises sound judgment and can confidently handle confidential information. The ideal candidate will also be comfortable navigating architectural drawings and plans to support coordination and documentation across internal teams and projects.
Key Responsibilities:
- Manage a high-volume inbox and complex calendar across time zones — prioritizing, labeling, and responding to critical communications while flagging urgent items that require executive attention.
- Coordinate scheduling, meetings, and travel with foresight — anticipating potential conflicts before they arise.
- Oversee and track sales pipelines, estimates, and internal tickets through CRM systems — ensuring timely updates, follow-ups, and full visibility.
- Serve as a liaison between clients, vendors, and internal teams to maintain clear communication, remove blockers, and keep deliverables on schedule.
- Maintain daily operations and workflow — keeping tasks, records, and shared files organized, accurate, and up to date.
- Support contract cycles and client administration — preparing proposals, agreements, and milestone documentation.
- Create and manage meeting materials such as agendas, presentations, and summary notes.
- Maintain and optimize operational tools and systems — ensuring all resources are current, synchronized, and well-organized.
- Read and coordinate around architectural drawings and project plans, tracking document versions and communicating updates to internal teams.
Education and Skill Requirements:
- Bachelor’s Degree in Architecture or related field
- BPO experience is a plus!
- A proactive and resourceful mindset with strong organizational and problem-solving skills.
- Proven experience supporting senior executives, ideally within a sales or project-driven environment.
- Excellent communication and judgment, with the ability to handle sensitive information discreetly.
- Comfort working under tight deadlines and adapting to shifting priorities with composure and professionalism.
- Familiarity with architectural drawings or technical documentation is a plus.
- High level of accountability, accuracy, and ownership — with the confidence to admit and correct mistakes transparently.
- Strong proficiency with email, calendar, and task management tools (e.g., Google Workspace, Outlook, CRMs, project trackers).
- Can work on-site and graveyard shift
