Job Summary:
The Client Relations Specialist will play a vital role in supporting the Director with administrative tasks. Core duties include managing the director’s schedule, coordinating communications, performing research, and supporting client relations efforts. The successful candidate will be highly organized, possess excellent communication skills, demonstrate effective task prioritization, and approach challenges with a proactive mindset. Additionally, this position requires collaboration with both internal teams and external vendors to ensure seamless operations and improve client satisfaction.
Key Responsibilities:
- Administrative Support:
- Composing, editing, and drafting emails, documents, and other forms of communication on behalf of the Director.
- Overseeing the Director’s calendar, organizing appointments, scheduling meetings, and prioritizing urgent tasks.
- Maintaining detailed and accurate records, ensuring all information is correctly documented and easily accessible.
- Inputting large amounts of data into various company platforms, ensuring precision and timely updates.
- Client Relations Support:
- Assisting the Director with a range of client relations projects and administrative tasks to address client needs.
- Conducting research on potential clients and organizing relevant notes to support client satisfaction initiatives.
- Contributing to initiatives aimed at enhancing overall client satisfaction.
- Communication & Coordination:
- Handling phone calls in a courteous and professional manner, ensuring clear communication.
- Coordinating with third-party vendors and the client relations team to ensure accurate order placement and fulfillment.
- Collaborating effectively with various departments to work on diverse projects and initiatives.
- Demonstrating independent judgment and initiative, especially when managing time-sensitive tasks or assignments.
- Additional Responsibilities:
- Performing any other tasks as assigned to support the Director and broader team initiatives.
Education and Skill Requirements:
- Proficient in MS Office suite
- Experience with CRM, HubSpot or project management software is a plus.
- Extremely strong organizational and analytical skills, and ability to multi-task
- Ability to communicate effectively, and in a fast-paced environment
- Strong time management skills
- Ability to manage multiple assignments, set priorities, and adapt to changing conditions with a positive attitude.
- Must be an exceptional listener and communicator who effectively conveys information verbally and in writing.
- Have stamina, drive, and perseverance to perform under pressure
