Accounts Payable Clerk

Job Summary:

The Accounts Payable Clerk is responsible for supporting the Accounts Payable team by performing data entry and routine administrative tasks to ensure the timely and accurate processing of invoices and payment documentation. This role plays a vital part in maintaining organized, up-to-date financial records and ensuring smooth day-to-day operations.

Key Responsibilities:

  • Accurately enter invoice data into the accounting system.
  • Match invoices to purchase orders and receipts as required.
  • Update and maintain vendor records.
  • Organize and file digital or physical documents related to accounts payable.
  • Track and log received invoices for internal reference.
  • Support the preparation of payment batches.
  • Follow up on missing or incomplete invoice documentation.
  • Assist in generating financial reports or summaries as needed.
  • Perform other clerical and administrative duties as assigned.

Education and Skill Requirements:

  • At least 1-2 years of experience in an office or administrative role (Accounts Payable experience preferred).
  • Bachelor’s Degree in Accounting, Finance, Business Administration, or a related field is a plus.
  • Familiarity with accounting software (QuickBooks experience is a plus).
  • Proficiency in Microsoft Excel or Google Sheets.
  • Excellent attention to detail and high level of accuracy.
  • Strong organizational and time management skills with the ability to multitask and meet deadlines.
  • Effective written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Discretion in handling sensitive and confidential information.
  • Strong work ethic, reliability, and a willingness to learn and grow in the role.
