Job Summary:
We are seeking a detail-oriented and organized Shipping Secretary to join our team. The ideal candidate will coordinate business-to-business (B2B) transactions with suppliers and shipment offices, managing the flow of cargo and freight. This role involves inbound and outbound calls for coordination, as well as providing administrative support to customers and management.
Key Responsibilities:
- Coordinate with suppliers and shipment offices to ensure smooth logistics operations.
- Handle inbound and outbound calls for coordination and issue resolution.
- Provide direct daily administrative support to customers and management.
- Answer calls and manage secretarial tasks for the Delivery, common carrier, UPS, and Pickup departments.
- Manage shipping charges and follow up on reports, communicating with customers on orders past ETA or not shipped.
- Prepare memos, letters, reports, spreadsheets, and other related correspondence.
What You’ll Bring
- Previous experience in shipping, logistics, or a related field is preferred.
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and collaboratively in a fast-paced environment.
