Executive Assistant

Job Scope

  • Provide temporary support to the executive assistant when they are absent or unavailable or
  • Provide real-time assistance when both parties are present.
  • Manage the executive’s calendar, schedule appointments, and make travel arrangements.
  • Prepare and coordinate materials for meetings, presentations, and conferences.
  • Draft, proofread, and edit correspondence, reports, and presentations.
  • Answer phone calls, respond to emails, and handle other communications on behalf of the executive.
  • Coordinate with other departments and external partners on various projects and initiatives.
  • Maintained and organized files, records, and other documents.
  • Conduct research and provide support on special projects as needed.
  • Handle confidential information with discretion and maintain strict confidentiality.
  • Perform other administrative tasks and duties as assigned.

Qualifications

  • Bachelor’s Degree preferred or equivalent work experience
  • Bachelor’s degree in business administration, Communications, or a related field preferred.
  • Minimum of 1 year of experience in an Executive Assistant or similar role.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Excellent problem-solving and critical-thinking skills.
  • Skilled in Microsoft Office suite and other office software.
  • Ability to maintain a high level of professionalism and confidentiality.
  • Demonstrated ability to work independently and as part of a team
