Job Summary:
The Patient Scheduling Coordinator will be responsible for managing patient appointments, routing incoming calls, and ensuring effective patient recalls and follow-ups. This role is essential for maintaining an efficient and patient-friendly scheduling system.
Key Responsibilities:
- Schedule Appointments: Coordinate and schedule appointments for patients across the GI practice and med spa, ensuring optimal use of provider time and resources.
- Manage Calls: Route incoming calls to the appropriate provider or staff member, providing excellent customer service and ensuring all inquiries are handled promptly.
- Patient Recalls and Follow-ups: Manage patient recall and follow-up processes to ensure patients return for necessary appointments and treatments. This includes reaching out to patients to remind them of upcoming appointments and rescheduling as needed.
- Record Management: Maintain accurate and up-to-date patient scheduling records in the electronic health records (EHR) system.
- Communication: Communicate effectively with patients regarding their appointment details, preparation instructions, and any changes to their schedule.
- Collaboration: Work closely with providers, medical assistants, and other staff to coordinate schedules and address any conflicts or issues that arise.
- Compliance: Ensure all scheduling procedures comply with healthcare regulations and practice policies.
Education and Minimum Skill Requirements:
- Previous experience in a medical scheduling or administrative role preferred.
- High school diploma or equivalent required; additional training or certification in healthcare administration is a plus.
- Strong organizational skills, attention to detail, and proficiency with scheduling software and EHR systems.
- Excellent interpersonal and communication skills, with the ability to interact professionally with patients, providers, and staff.
- A friendly and empathetic approach to patient care and service.
